Automatically Available Records

"Automatically Available Records" refer to the category of information that public and private bodies are obligated to proactively disclose without requiring a formal request under the Promotion of Access to Information Act (PAIA) in South Africa. These records are made readily accessible to the public without the need for individuals to formally request them. Examples of such records include annual reports, financial statements, policies, and other relevant documents that hold significance in promoting transparency and accountability within organisations.

 

Making these records available proactively is crucial as it facilitates easy access to vital information, fostering greater transparency, trust, and accountability between organisations and the public. It empowers citizens by enabling them to access pertinent information promptly, aiding in informed decision-making and ensuring a more open and democratic society. As part of the commitment to transparency, organisations must ensure these records are easily accessible on their websites, contributing to a culture of openness and accountability.

 

Uploading of Records

This eServices platform serves as an additional channel for organisations to showcase their commitment to transparency and compliance with PAIA. In addition to making records accessible through their own websites, organisations have the option to further enhance public access by uploading these records onto this platform. The records will be made available under our "Organisation Search" option.

Regulatory Oversight

This initiative aligns with our goal of centralising information, fostering a user-friendly environment where individuals can easily locate and retrieve records from various entities in one consolidated platform. It not only simplifies the process for the public but also reinforces the ethos of transparency and accountability mandated by PAIA, ensuring a more informed and engaged society.

Resubmission

Should your organisation have previously submitted documents but needs to make a new submission, you have the option to resubmit your documents. A new submission will overwrite the previous submission, replacing any existing documents with the updated ones. Ensure that all relevant documents from the previous submission are included in the new submission. This process allows for the inclusion of any amendments, updates, or additional information necessary for compliance with PAIA regulations. Prior submissions will be replaced entirely by the new submission to ensure that the most recent and accurate information is available.
