Why We Collect ID Numbers
When you register on the eServices portal, we require your South African ID number as part of your profile setup. This is not just a formal requirement — your ID number is the most reliable and unique way to verify your identity in South Africa. It ensures that each individual who registers is accurately identified and that no duplicate or fraudulent accounts are created.
The profile you are creating belongs to you as an individual. It does not belong to your employer or the organisation you represent. This distinction is important because even if you move between organisations, your eServices profile remains yours. You are responsible for maintaining it and for ensuring that the information linked to it is accurate and up to date.
Each person within an organisation who needs to interact with the Information Regulator must create their own personal profile. Once registered, they can be added to the organisation's records as an Information Officer, Deputy Information Officer, or Admin Officer. There is no limit to the number of Deputy Information Officers or Admin Officers an organisation may have. However, there can only be one designated Information Officer, who must be the head of the organisation, such as a Chief Executive Officer, Managing Director, Director-General, or a person in a similar leadership role.
Because your profile is personal and linked directly to your ID number, you must never share your login credentials with anyone — including your colleagues. Sharing credentials not only compromises your security but also undermines the accountability of actions taken on the platform. Each login is tied to a real person, and all submissions or updates made through your profile will be attributed to you.
Importantly, we are committed to protecting your privacy. Your ID number and other personal details are only visible to you. No other users — internal or external — can see this information. All data collected through the portal is stored securely and processed in compliance with POPIA.
